OneSite Leasing & Rents Conventional provides on-demand access to information in real-time. It automates the entire process of leasing and renting apartments—from electronic guest card to final move-out. Pricing and concessions can be managed centrally with the system. OneSite Leasing & Rents provides a powerful management tool that enables property managers to monitor, analyze, and enforce practices and policies at all sites. At the same time, it simplifies the leasing, resident management, and rent management processes and automates tasks to free up site personnel to do what they do best: lease apartments and provide high-level customer service to prospects and residents.

The Leasing Process

The leasing process begins when a guest card is filled out online or at the apartment community. OneSite Leasing & Rents collects prospective residents’ preferences, such as move-in date, price range, number of occupants, and number of bedrooms.

If the prospect is interested in an available unit, the next step is to complete the lease application. Information captured on the guest card does not have to be entered a second time since the lease application is automatically created from the information already entered about the prospect.

Next, any special offers are displayed at the point of lease and application fees are assessed. Then the lease applications detail page, where users can complete the leasing process, appears. Options here include processing the credit application, canceling or rejecting the lease, adding transactions, and adding additional occupants or cosigners.

Once the credit application has been completed, the electronic information can be processed through Resident Screening or the third-party screening vendor of your choice. Once the prospect has passed the screening requirements, all that is left to do is sign the lease.

Accounts Receivable

OneSite Leasing & Rents includes a comprehensive billing capability that supports recurring and one-time charges. Billings can be posted to resident or nonresident accounts on demand or based on automated, user-determined dates. Management personnel can monitor billing corrections to ensure that negative corrections or write-offs receive proper approval.

All recurring charges have start dates and end dates. A site can track and record nonresident revenue by creating a nonresident account. This feature prevents bogus units and lease setups, which misrepresent occupancy and site detail. It also allows you to take advantage of the same billing features as for residents, including prorates, recurring charges, and automated billing.

Payments

OneSite Leasing & Rents supports credit card payments, debit card capabilities with member banks, and online bank drafts.

OneSite Leasing & Rents can generate aged receivables reporting in summary or in detail.

Deposits remain in the system until disposition occurs in full. OneSite Leasing & Rents provides reporting that summarizes deposits required per lease, deposits on hand, resident statuses, and dates received. The system also features exception reporting for resident accounts that require deposits that differ from the deposits on hand, ensuring full collection.

NSF entry includes the ability to have an NSF fee default so that any NSF recorded by the site automatically posts an NSF fee to the resident account, ensuring consistency in billing and collection. NSF and payment history information is stored in a resident payment history database at RealPage. This information is then accessible for subsequent use in applicant screening.

Delinquencies

OneSite Leasing & Rents enables you to generate standard and customized follow-up reminders to residents who are late in remitting their rent payments.
