OneSite Leasing & Rents Frequently Asked QuestionsDoes OneSite allow me to create a corporate template of settings that are applicable to all my properties?Yes, our implementation team will take you through the entire process to ensure that all the critical settings are customized just for your company. In addition, many settings now exist outside of templates at the corporate level. These settings may be changed and become immediately effective at all of the properties. What if I have a few properties that want or need different settings?That’s not a problem. You can save multiple versions of the template with all the property-specific modifications you need. Of course, individual settings may be edited at property level. Will I have to set up every site from scratch when I switch to OneSite?No, you do not have to set up every site. RealPage can convert data from both Rent Roll and AMSI and is working on several more conversion routines. Is OneSite Leasing & Rents integrated with Resident Screening? Does all prospect guest card information automatically flow into a prospect’s application page?Yes to both questions. The required fields and the supplemental data fields all flow into the application. That information, in turn, flows into the resident at a glance page. You should never have to enter a person’s name or contact information more than once! How much information do I have to record in order to save a prospect’s contact information?The only fields that must be filled in to save a guest card are date and leasing consultant name (these are defaulted by OneSite), the type of apartment the prospect is looking for, their first and last names, how they heard about the community, when they are wanting to move, and one phone number or e-mail address (for contact purposes). These fields are outline in red on the guest card. Does OneSite provide system pick lists that incorporate subcategories to aid in roll-up reporting?Yes and it is the only multifamily property management system on the market that does. Can I edit lease dates before and after move-in?You can edit lease dates prior to move-in. After move-in, only the lease term and lease end date may be edited. Does OneSite provide any kind of lease expiration date control?Yes, through set up you can limit the percentage of leases that can be set to expire within a specific calendar month. This is both for renewals and new leases. Additionally, using blackout dates you may specify specific dates or days of the week that leases cannot expire. Can I manage the leasing specials that are being offered for all communities, floor plans, and/or specific units from the home office?OneSite allows you to create unlimited concessions that may be based on occupancy percentages and assigned by floor plan or by unit. Concessions may be specific to new leases, renewal leases, transfers or any combination of the three. Concessions may be set up as one-time, recurring or a mix of both. Can I use OneSite Leasing & Rents if I have some owners that prefer cash reporting and some that prefer accrual reporting?Absolutely! OneSite automatically tracks and reports how all payments, credits, and deposits are applied. Does OneSite automatically apply late charges to delinquent accounts after the late charge date occurs?There is a set up option that prevents the date from being forwarded until late charges are posted. Can large numbers of rent payments be processed in bulk?Yes, OneSite provides a very flexible and easy to use quick payment posting page that will cut payment posting time in half. If an amenity value changes—for example, a fireplace is not worth as much in the summertime—can you change the value once on the amenities list and have it update for all floor plans and units at once?Yes, with proper password authorization. However, it will not change the value for any amenities currently associated with leases. Does OneSite provide me with the ability to import transactions from an outside source, such as a utility submetering company or lockbox processor, like Rent Roll does?Yes, in fact, it works the same way. OneSite also provides a browse feature that allows you to search for the transaction file on your hard drive. Can OneSite handle freestanding garages, storage units, and the like?Yes, and you have a couple of options on ways to handle this. A floor plan and all associated units may be classified as a non-dwelling type, not included in occupancy calculation. Unit reports will differentiate between the two. Or, the rentable items feature allows you to create an unlimited number of types with items associated with them. You can track these with serial numbers and associate charges to them. Can my income data and resident deposit refund information be interfaced with my general ledger accounting package?Yes, with the use of OneSite Site Data Exchange, your general ledger journal entries and deposit refunds can be extracted from OneSite each time the date is advanced. Site or home office users can schedule the interval for the extract and choose which extracts to include. Once this is set up, the end user does not have to do anything to make this happen; it is automatic. Where does that data go?The extract produces an XML file which is then stored on the OneSite file servers. The XML file can be downloaded from within OneSite or retrieved over the web using RealPage web service requests. |
